This policy explains how Russia–Philippines Trade Link ("we", "us") handles personal information collected through rusphiltrade.com, its forms and its chat assistant. We follow the Data Privacy Act of 2012 (Republic Act No. 10173) of the Philippines and its implementing rules.
Who is responsible
Russia–Philippines Trade Link is an independent trade agent based in the Philippines. For any privacy question or request, write to rus.import.ph@gmail.com.
What we collect
- Details you send in our forms: your name, company, work email, phone number if you add it, the product and volume you ask about and your message. Suppliers who apply also send their region and website. For a company check we also ask for your country, the Russian company you want checked and the planned deal.
- Details sent together with a form: the address and language of the page you used, the page you came from and campaign tags (UTM) if your link had them. This shows us which pages bring inquiries.
- Messages you write to the chat assistant, including any contact details you choose to share.
- Technical data: a shortened, non-reversible code made from your IP address for spam protection, and standard server logs.
- Website statistics collected with cookies by Google Analytics and Yandex Metrica, such as pages visited and device type.
Please do not send passports, bank statements or other sensitive documents through the website.
Why we use it
- to answer your inquiry and confirm and carry out an order you place with us
- to send you the report and payment details for a company check
- to protect the website and forms from spam and abuse
- to understand how the website is used and improve it
We process your information because you asked us to act on your request or order, or on the basis of your consent, which you give when you tick the consent box and submit a form or when you write to the chat assistant.
Who helps us process it
We use the following service providers. They process data on our behalf, only as needed for their service.
- GitHub Pages and Cloudflare: website hosting and delivery
- Beget: the server that receives form submissions and chat messages
- FormSubmit: delivery of form submissions to our email and of the confirmation email to you
- Telegram: internal notifications to us about new requests
- DeepSeek: the language model that writes the chat assistant's replies
- Google Analytics and Yandex Metrica: website statistics
Some of these providers process data outside the Philippines, including in the United States, the European Union, Russia and China. We share with them only what their service needs.
We do not sell personal information. We do not tell a Russian company that you asked us to check it, unless you ask us to.
How long we keep it
- Chat conversations: up to 30 days.
- Inquiries sent through website forms: up to 12 months.
- Order details and the report we prepared for you: up to 12 months after delivery, for follow-up questions and our records.
- Spam protection data: up to 30 days.
After that, the information is deleted, unless the law requires us to keep it longer.
Your rights
Under the Data Privacy Act you have the right to be informed about the processing of your personal information, to access it, to object to its processing, to have it corrected, to have it erased or blocked, to receive it in a portable format, to claim damages, and to file a complaint with the National Privacy Commission. To use any of these rights, email rus.import.ph@gmail.com. We reply within a reasonable time and may ask you to confirm your identity.
Security
Connections to the website and forms are encrypted. Access to submitted data is limited to the people who work on your request. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Changes
We may update this policy. The date at the top shows the latest version.
